SECRETARIAL JOB DESCRIPTION
FOR ENGLEWOOD CHRISTIAN CHURCH
The Church Secretary holds a vital position within the staff of Englewood Christian Church. The Christian commitment and occupational competency of the secretary should thus instill confidence in the staff, in the church family, and in those who come by the church for assistance. The Church Secretary provides the first impressions of ECC to those who come to the church. With these important functions, the Church Secretary must possess a superlative character and high professional standards.
1. Spiritual requirements for the position of Church Secretary
a. The secretary will need to be an immersed believer in Christ and be seeking to develop a maturing relationship with Him.
b. The secretary will need to be a faithfully active and attending member of a New Testament Christian Church.
c. The secretary will need to be a model the Biblical standards of personal conduct and lifestyle.
d. The secretary will need to possess a strong Christ-like attitude in words and actions.
e. The secretary will need to support and adhere to the ECC mission, vision, values, and philosophy of ministry.
f. The secretary will need to support the guidelines for the ECC office staff.
2. Minimum professional requirements for the position of Church Secretary
a. The secretary will need to have a minimum of a high school diploma.
b. The secretary will need to be a cheerful person with a positive attitude toward the work, the church, the rest of the staff, and the public who contact the church.
c. The secretary will need to already possess excellent skills in the following areas:
(1) computer knowledge, experience, and proficiency in applications of Microsoft Office including Word, Outlook, Excel, Publisher, and PowerPoint, as well as Word Perfect and Adobe Indesign CS4 with at least a 65 wpm proficiency
(3) interpersonal interactions
(4) problem solving
(5) the use of standard office tools such as phones, copy machine, fax machine, folding machine
d. The secretary will need to be able to work with a wide variety of people.
e. The secretary will need to have command of English composition and punctuation for excellent written and verbal skills.
f. The secretary will need to be trustworthy to keep confidences when required.
g. The secretary will need to have excellent communication skills to convey messages promptly and accurately.
h. The secretary will need to be able to lift, pull, bend, carry, and push as needed to care for office and church supplies, bulletin boards, post office mailings, other errands both on and off campus, etc.
3. Tasks and duties of the ECC Secretary (not an exhaustive list)
a. Maintenance and organization of front office area
b. Ordering and maintenance of office supplies and equipment
c. Organization and maintenance of the church calendar
d. Collection and distribution of all mail and e-mail to our office
e. Dissemination of all correspondence both mail and e-mail from our office
f. Politely answer, screen, and rout all incoming phone calls
g. Compile, type, proof, print, fold, and distribute weekly bulletins (This includes reviewing work done by others in order to check for correct spelling and grammar, and that accurate information has been given.)
h. Compile, type, proof, print, fold, label, and mail bi-weekly newsletters (This includes reviewing work done by others in order to check for correct spelling and grammar, and that accurate information has been given.)
i. Keep accurate membership records (new members, baptisms, transfers, births, deaths, weddings, etc.)
j. Sign for packages received
k. Maintain “Servant Keeper” computer program for accurate names, addresses, phone numbers, e-mail addresses, etc.
l. Other duties as necessary and requested within reason that may include, but not limited to maintaining bulletin boards, assisting with copying, faxing, etc.
m. Prepare annual reports
n. Keep up with routine filing of paperwork
o. Prepare new members information packets for distribution
p. Notify all staff of members’ hospitalization, deaths, etc.
q. Maintain petty cash with accurate records and receipts
r. Distribute food from our food pantry when requested
s. Learn to use new technologies as they are developed and implemented
t. Recruit volunteers when secretary to be out of the office
u. Produce PowerPoint slides for announcements, sermons, etc.
